Job Description

The Marshalling Yard Coordinator performs pertinent duties including scaling freight trucks, entering necessary exhibitor information into data base, controlling carrier traffic to and from venues, and capturing revenue through freight billing. This role is important to the business to ensure the efficient move-in and move-out of all freight in larger venues and to ensure all possible freight revenue is captured and billed appropriately.

Responsibilities:

• Create show folders for all shows
• Create billing guidelines
• Prepare reports analyzing prior year freight trends for upcoming shows
• Review freight billing tables in Core Oracle for accuracy and research freight disputes when necessary
• Communicate pricing issues to Account Management
• Confirm plan for freight revenue capture with Operations
• Input freight information into Core Freight both inbound & Outbound to create carrier & shipment records
• Perform freight audits/prior year drayage comparisons
• Perform billing transfers
• Run Core Freight reports during and after show
• Check for open receivers, missing pro numbers/loading allowances
• Dispatch responsibilities Inbound & Outbound
• Perform Lead Freight Out Duties
• Update & Audit Outbound Paperwork
• Support other Freight Operations Staff as needed
• Keep Managers up-to-date on all issues.
• Assist with incoming calls regarding freight inquiries
• Improve departmental relations and service levels

Qualifications:

• High School Diploma or equivalent required
• Demonstrable leadership ability
• Must be proficient in MS Office programs and have strong typing/data entry skills
• Must be able to work in a fast-paced environment and meet deadlines with little supervision
• Must be able to perform work in office setting and on trade show floor in varied conditions and elements
• Must be able to prioritize tasks and responsibilities to meet deadlines and to complete highest priorities first.

• Strong organizational, problem solving skills
• Attention to detail
• Ability to multi-task
• Strong written and verbal communication skills
• Two to three years in a customer service environment
• Two to three years of experience in the convention industry highly preferred
• Two to three years of Marshalling yard experience strong plus

Work Environment:

• Work is performed in a somewhat crowded or noisy area where there may be mild discomfort due to temperature, dust or other conditions.
• Must be able to work extended hours based on schedule- includes weekends and evenings- Frequently performs work on the tradeshow floor, in noisy and crowded areas while enduring uncomfortable temperatures, dust and/or other conditions
• Job requires walking, bending, handling, reaching, grasping, lifting 25+ lbs., and repetitive motions
• Job requires long hours during show runs with varying stop and start time both early AM and late PM
• Requires working alone at times and also with others in a team atmosphere
• Work performed in office setting and also remotely from home during non-show responsibilities includes sitting at computer for long periods of time
• Will work with and report to multiple managers both in a city and national level
